Lead Monitoring & Outreach Sync

The agent watches the influencer pipeline continuously, enriches new leads, keeps the sheet and the outreach tool in sync in both directions, and makes sure nobody gets pitched twice or contacted mid-contract.

The starting point

New influencers land in a sheet all day: from research tools, from referrals, from the client's own wishlist. Someone had to notice them, look up the profile, find a contact address, check they were not already in a campaign, and move them into the outreach tool before anything happened.

That someone had other work. Leads waited, sometimes for days, and the sheet and the inbox slowly drifted apart. A creator marked signed in the sheet would still sit in an active outreach campaign, one cold pitch away from an awkward conversation.

Dedupe was the quiet killer. Creators show up under different handles, a personal address here and a manager's address there. Matching on email alone missed half of it.

How it works

  1. 01

Monitors the influencer sheet every few minutes, day and night

  2. 02

Enriches each lead with profile and audience data

  3. 03

Dedupes new rows against everyone ever contacted

  4. 04

Pushes clean leads into outreach with the right campaign

  5. 05

Stops sequences the moment a reply lands anywhere

  6. 06

Syncs lead state both ways so sheet and outreach never drift

  7. 07

Posts a daily digest of what moved to Slack

Edge cases it handles

The same creator, two different addresses

A lead added with a manager's email while the personal address is already in outreach is matched on handle, not email, and merged instead of double-pitched.

A reply arrives on the wrong channel

When a creator answers a cold email through an Instagram DM, the agent still stops the sequence and hands the thread to the communication agent, so follow-up two never fires at an interested lead.

A signed creator reappears in the list

Anyone under contract or in an active negotiation sits on the suppression list. New rows matching them are skipped and flagged, never contacted.

The sheet structure changes mid-run

If columns move or a bulk paste breaks the format, the agent stops and reports instead of mis-mapping a hundred rows into outreach.

A dead or broken profile

Handles that do not resolve, or accounts that look inactive or botted, are flagged back in the sheet with the reason instead of being pushed into a sequence.

What runs autonomously

The agent handles

  • Checking the sheet every few minutes, around the clock
  • Enriching leads with profile and audience data
  • Deduping against past outreach and active contracts
  • Pushing new influencers into Smartlead
  • Keeping lead state matched across both tools

The team keeps

  • Adding new influencers to the sheet
  • Deciding which segments get prioritized
  • Reviewing leads the agent flagged as risky

What it saves

No more manually moving leads from list to outreach tool. New influencers enter the funnel within minutes, around the clock, already enriched and deduped.

The funnel keeps moving overnight and on weekends. By the time someone checks the list, outreach has already started.

And the embarrassing failure modes disappear. No double pitches from two team members, no cold emails to creators already under contract, no interested reply buried while the sequence keeps firing.
